Accounts Receivable Associate

As an Accounts Receivable Associate you be responsible for processing Accounts Receivables to ensure customer invoices are coded correctly, invoiced on time, reconciled, and cash received is applied in a timely manner in accordance with required control procedures. A successful candidate will be able to: Thrive in a fast-paced environment with quick deadlines; multi-task, work well under pressure, and display high reading comprehension skills.

Systems: Oracle EBS r12, Teams, Outlook, GHOST, JP Morgan Chase, Treasury Management, Teamwork, Ariba, COGNOS, OneDrive

Primary Job Responsibilities

  • Work up invoice file based on system data using Excel functions including pivot tables and VLOOKUP, obtain sale order PO and payment confirmations. Ensure invoices are correct for units, sales amounts, device values, and labor amounts.

  • Monitory group mailbox for daily task hand-offs

  • Responsible for reviewing and posting invoice for accuracy in units, sales amounts, device values, and labor amounts from the created invoice file.

  • Ensure Oracle invoice matches the created invoice file and all information in the Oracle invoice is correct for the sale.

  • Ensure all Sales Orders and invoices are logged within an Excel Sales Log file by Sales order, payment receipt and current status.

  • Maintain invoice supporting documentation for audit review.

  • Process Accounts Receivable automated cash application files in timely manner.

  • Enter Accounts Receivable Customer Overpayments and Credits

  • Monitor JP Morgan Bank Accounts and Treasury Management System for 3rd Party Liquidation, HRC an Intercompany Cash Receipts

  • Validate and post cash receipts for liquidation sales and insurance claims.

  • Answer customer inquiries.

  • Assist AR Manager of Accounts Receivable in problem solving for current and “New” Business issues as they arise.

Basic Qualifications

  • High School diploma or GED

  • Minimum of 1 year of prior experience in an Accounting related field

  • Organizational skills, problem solving skills, and follow through

  • Ability to reconcile accounts to relevant supporting documentation

  • Ability to multi-task, drive results, be a team player, work under tight deadlines, and the ability to communicate with all levels of financial and operational personnel

  • Focused and able to follow documented processes each time

  • Ability to thrive in a fast paced environment and meet tight deadlines

Preferred Qualifications

  • Bachelor’s degree in Accounting

  • Intermediate Excel skills, including VLOOKUP and Pivot tables

  • Ability to work through detailed invoice data, while paying attention to details to recognize anomalies with minimal supervision

  • Basic understanding of accounting principles as needed to apply proper account coding
