Executive Assistant

The Executive Assistant will provide administrative support to the SVP of our Global Sourcing & Facilities organization as well as several leaders within the team. A highly visible role, this person is an articulate and persuasive communicator dealing with confidential information and demanding constituencies. The position works closely with other Executive Assistants to provide backup. 

** Hybrid Work Location - 85% (Homes Office) / 15% (In-Office)



·       Provide daily administrative support to the SVP that includes: Travel arrangements (making arrangements, creating itineraries and submitting expenses), appointment scheduling, word processing, correspondence, answering telephones and maintaining records.

·       Act as the 'Control Tower' for manager regarding calendar management, awareness of urgent issues or conflicts, Workday questions, IT issues and email correspondence. In addition, handle calendar management and other administrative issues as needed with the Leadership Team and GS&F Team members

·       Manages logistics for department events as needed.

·       Coordinate and prepare for meetings and conference calls.

·       Coordinate client meetings and visits as well as conferences and travel itineraries for business unit.

·       Create, manage, and submit expense reports for the SVP and their direct reports.

·       Maintain PTO calendars for the group

·       Order office supplies as needed

·       Assist wider GSF Team in Onboarding as well as follow-up for New Hires and current team members

·       Assists with new hire orientation for employees

·       Handles a variety of situations and functions of the office with discretion determining what may not need to be brought to attention of executives

·       Composes internal and external correspondence and other communications. Ability to prepare PowerPoint presentation decks.

·       Responds to phone calls and complex requests for information. Screens, responds to, or directs incoming calls for department management.

·       Handle sensitive matters in a mature and confidential manner.

·       Manage multiple projects simultaneously with timely follow through.


Qualifications , Knowledge and Skills   

·       5+ years of administrative, secretarial, or related working experience

·       Proficiency in Microsoft Word, Excel and PowerPoint

·       Customer service and organizational skills

·       Detailed written and verbal communication skills and the ability to interact with people at all levels

·       Work under minimal supervision and determine priorities and requests for action in management's absence

·       Handle sensitive/confidential information


Pay Range

$22.61 - $37.32

Any posted pay range considers a wide range of compensation factors, including candidate background, experience, and work location, while also allowing for salary growth within the position.
