Sales Operations Support Associate

Job Purpose (Why job exists)

The Sales Operations Support Associate (SOSA) reports directly to the Director Market Intelligence. As a member of the Disposition team, the SOSA will assist in many sales support functions. SOSA is responsible for managing, tracking, and meeting KPI’s and providing reports related to all pre and post-sale activities for all domestic disposition programs out of Tokyo, Japan. During the sales process, these efforts include, but are not limited to, customer contact and communication, PO collection and accuracy, invoice requests and accuracy, shipping oversight, and post sales problems resolution.

Is responsible as the Disposition Team primary point of contact for all Buyers, and Operations, Shipping, and Finance teams in all domestic depot facilities to ensure processes are followed and KPI’s are met for inventory value and velocity optimization requiring clear communication. The SOSA initiations critical collaboration between the Disposition team and the billing, fulfillment, shipping and Operation Team.

Escalates issues as need to Director levels.Creates, maintains, and provides daily reporting to Disposition Team and Supply Chain Team for transparency into inventory movement and tracking to KPI’s.

Primary Job Accountabilities / Responsibilities

Customer contact for Tokyo, Japan sales transactions

  • Managing the registration of new clients, maintains the client’s database including registering documentation, client’s information. Data will be routinely shared with Global Complinace.
  • Maintains client folders to include all required documentation including Offers, PO’s, Invoices, BOL’s, and post-sale issue documentation.
  • Trouble shoots, researches, and provides resolution to order/shipment issues.
  • Manages, including all the communication in the RMA process.

Sale Operations from Tokyo, Japan facility(ies)

  • Acquires and maintains a good working knowledge of all inventory being sold via the Wholesale Channel out of the Tokyo, Japan facility(ies): Originating Programs; Receiving/ Sorting/ Validation/ Reporting/ Invoicing/ Shipping processes; Model Mixes; Conditions.
  • Create and maintains a comprehensive order board to effectively manage every order from approval to shipment.

Coordinates interdependent activities with Materials and Shipping

  • Works with the Supply Chain / Warehouse teams de-billing inventory to ensure product is moved out of Staged for 3rd Party in a timely fashion.
  • Coordinating and communicating on the sales process

RMA, Credits and Returns

  • Manages, including all the communication in the RMA process.
  • Accepts credit/returns requests from Disposition Team and Finance on behalf of Buyers.
  • Researches claims for validity through Data and with Supply Chain / Operations and QA Teams.
  • Identifies fair credit value associated with devices in question.
  • Proposes fair credit value or returns to Disposition Team to secure approval from management.
  • Once approve/denied, communicates claims approval or denial to Disposition Team and Buyer.
  • Provides Finance with required documentation to post credit end ensures timely communication with Sales/Buyer.
  • Maintains documentation log for all the above in compliance with processes to support proper record keeping and audit requirements.

Reports/Traks Sales Activities to KPI’s

  • Assists with and troubleshoots order issues problems often requiring a coordinated solution with Finance, Disposition and Supply Chain Teams.
  • Tracks and reports on daily sales progress.
  • Identifies ineffective work processes/flows within AMO department or related work areas that negatively impact KPI achievement and proposes and executes specific solutions for improvement or optimization

Process Compliance, Updates, Audits

  • Ensures the formal Sales processes are optimal and being adhered to and that required documentation is being retained. 
  • Participates in process reviews for updates, approval, and recording.
  • Participates in internal audit research and documentation as required.

Responsible to have strong working relationships with cross functional teams and managers

  • Works with cross functional team Leads, Managers, and Directors on daily sales processes as well as process improvements and opportunities.
  • Supports cross functional teamwork with supportive and collaborative attitude and actions.

Basic Qualifications Required - Experience, Skills, and Knowledge

  • High School Diploma
  • Minimum of 2 years’ experience in a position working with EXCEL
  • Proficient to Advanced EXCEL skills
  • Language requirement: fluency in English (speaking, reading, writing).

Other Requirements- demonstrated ability of:

  • Aptitude for systems and processes, advanced problem solving.
  • Proficiency with Microsoft Office programs; Outlook, Word, Excel (skills must include V Look Up/Pivot Table)
  • Excellent written and verbal communication skills including proper grammar, spelling, and email composition.
  • Detail oriented, excellent follow up and time management skills, sense of urgency, resourceful and able to manage multiple priorities in a rapidly changing environment.
  • Ability to prioritize, organize, and work independently, or as part of a project team, to complete multiple tasks.

Preferred Experience, Skills, and Knowledge

  • Some experience working in the Wireless industry.
