Executive Assistant, Spain
Location: Madrid. Hybrid working preference
The Opportunity:
Reporting to the President Europe, this role provides high-level administrative, organisational, and office support to the President Europe, Country Manager Spain, and CFO Europe. It is an excellent opportunity for someone who enjoys building strong relationships and keeping senior leaders organised. You will play an important part in supporting the day-to-day success of the executive team through proactive diary management, coordination of internal and external meetings, support for local meetings in Madrid, and management of European and global travel arrangements.
As a key point of contact for internal and external stakeholders, you will help manage busy calendars, organise meeting logistics, support visitors and clients, and contribute to the smooth running of the Madrid office and wider executive activities. We are looking for someone who is professional, organised, adaptable, and proactive, with strong communication skills in both Spanish and English, sound judgment, and the ability to work effectively in a collaborative office environment, including spending time in the office when needed.
What you will do:
Executive Support
- Manages busy and complex diaries across multiple executives, resolving conflicting priorities and ensuring efficient scheduling of appointments, meetings, and travel.
- Coordinates global and European travel arrangements, including itineraries, accommodation, agendas, and supporting materials.
- Organises and supports local meetings in Madrid, including room bookings, logistics, refreshments, materials, and on-the-day coordination.
- Supports internal meetings, leadership events, off-sites, and team activities, ensuring all logistical and administrative arrangements are in place.
- Acts as a key contact for visitors and clients, coordinating travel, meeting preparation, catering, and front-of-house arrangements where required.
- Provides office support to help ensure the smooth running of the Spanish office, including facilities coordination and practical support within a shared co-working environment.
What you Bring
- Strong communication skills in both Spanish and English are important, as English is the common business language across Assurant Europe.
- Previous experience in an executive assistant, office support, or similar coordination role, including diary management, travel coordination, and meeting logistics.
- Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint).
- Strong organisational skills, with the ability to manage multiple tasks, changing priorities, events, visitors, and office logistics while maintaining attention to detail.
- Strong interpersonal and communication skills, with the ability to build positive working relationships with colleagues, leaders, clients, visitors, and external partners.
- Comfortable working independently and collaboratively in a co-working office environment, with flexibility to be present in the office when the role requires.
- Proven ability to handle confidential information with discretion and deliver a high standard of service and responsiveness.
